What personal data we collect and why we collect it

Online forms

If you contact us via the CHCA website (e.g. general contact, tree removal request, hall booking request), we may store the information you submit (including your email address, phone number, IP address) as part of processing that contact request.

Google Authentication

If you have an account on this website, we provide the ability to use Google OAuth to authenticate yourself when logging in.  Other than your email address, we do not use or store any information from your Google account.

CHCA Membership System

If you are a member of CHCA, we will securely store personal data such as contact details, rental house information, associate membership information, etc.

Cookies

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

How long we retain your data

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

For members (and past members) of CHCA, we store the personal information you provided to CHCA when you joined CHCA.  We may retain information indefinitely for purposes of e.g. supporting ERT processes in the remote environment in which the village is situated, but your rights over your data remain unaffected.

What rights you have over your data

You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. If you no longer wish to be a member of CHCA, you can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

What third parties we share information with

CHCA may share your membership data with Selwyn District Council’s Emergency Response Team with responsibility for Castle Hill Village, purely for the purposes of Civil Defence and emergency response.

What third parties we receive data from

CHCA receives information from Selwyn District Council relating to ratepayers and owners of sections at Castle Hill Village.  CHCA may store this information in relation to your membership of CHCA.
